Sample Communication – Notifying MLA of Fundraising Under $2000

In accordance with the MLA Guidelines for Seeking Outside Funding 2.1.1 (Raising Funds under $2000), the association unit should send an informational statement to their board liaison (or in the case of a section to the Section Council Chair) with copies to the Treasurer and the director of financial and administrative services. The statement should include the names of prospective sponsors, the amount of the support requested, and a description of the purpose for which funds will be raised.
Example
This is notification in accordance with the MLA Guidelines for Seeking Outside Funding 2.1.1., that the Cancer Librarians Section of the Medical Library Association is seeking funds to support their business meeting. Each year the cost of providing refreshments at the meetings increases. We would like to seek assistance from the organizations below to fund in part or all $2000 for our business meeting. We plan to begin contacting the sponsors below on December 1, 2008.
Prospective sponsors to be approached are:
Oncology Nursing Society http://www.ons.org
Cancer Information Group (CIG) http://www.cigjournals.com
Journal of the National Cancer Institute www.oupjournals.org/sales
Funds would not be ongoing. Money left over after the purchase of refreshments for the Cancer Librarians Section Business Meeting would remain in the Cancer Librarians Section Budget for future section business.
